AOS Tornie. Best player wins!

Postby BANE » Wed May 12, 2010 12:13 pm

With the demise of the GT (no heats, WTF) i am left feeling a lack of motivation for 40k (damn Nige and his FoW) after all attempting to win the GT is what brought me back to 40K at the end of 4th ed after years out.

So as a solution i am asking would there be a ground swell of support to start a AoS tournie?
I relise it would start as a 1/2 day event so much like the current GT system but as it grows who knows, plus it would be ours!

We could buy tickets to cover a prize or just give the winner some pride.

And hopefully in a few years we could invite the italians over to beat us all!

Any thoughts?

Would be quicker just to get Nige & Baragash to play each other....

BANE, you might want to speak to Nige, this is already on his list of things :) We had a one day tourney at the Feb meet, I guess we'll have something similar in August (but as we can't book tables on the Sat and Sun it might be more awkward), but we'll likely have it rolling March or Aug/September next year.

I think ,spack, that Bane is suggesting something wider/bigger (like maelstrom games do..bigger than local not quite GT yet).
Bane we looked into it a year or 2 back but it hit a chicken and egg logic gap.
Need lots of members to get it that big (and active members willing to run it for nige scale wages), publicity from running it would be a method of enticing new members/shoppers. Some folks said they didn't want for there to be many more people around. There was also a 'big enough that GW gives a fixed slot with enough notice that it can be advertised ahead' vs getting big enough issue IIRC.
Ljundhammer ran the AoS (members small, on GW property) one last summer went fairly well and Matt running the small one in easter was also fairly painless...
Barely even lurking..

Ah, I see, a full size GT thing. Yeah, having enough people is the biggest issue at the moment, once that's out the way Nige just needs to finish his gaming hall ... :P

Was thinking along the lines of what Toby is saying, a large event with max attendence from AoS, and then push the invitations out to other sites and forums.

1 increase attendence to make viable 2 promote this site, increase the family.

Just thinking that the GT has nothing special to offer now its just like any other tournie, was trying to get this up and running so one day it could be the No 1 event in any 40Kers calander.

Was thinking if we go for it now with a group of us on here to make it happen we could plan it for next year or something.

THE AOS 1ST ANNUAL 40K WORLD CUP

if we got the places from whw in advance we could even have a split event with heats and a final

Limited the amount of tickets to other forums and they could have there own tournie to win the right to claim one of the tickets to ours

i will happly donate my time to make it happen but would need help and guidance from those who have previous experiance of tackling such things.

If we plan it far enough in advance TW may even come!

or am i been too ambitious

There's a whole thread on this somewhere we should pull pertinent notes from if this is going to be revisited.

I'd be interested in this, as much for the community / event side of things as the serious playing to win. Still very much a rules n00b, but more than willing to lend a hand if needed :)

Hmm - sounds like a plan - I would imagine at least one other member of our lot interested if not a couple.

There's a thread I started ages ago called "Gaming Tournaments" which lists all the considerations for organising one and the preliminary work done investigating hosting one at WHW, insurance, child protection policy etc. etc. It didn't get any further though at the time.

But it's in a section not everyone has access to :( So we can either discuss it in public by pulling the information across to this thread (might not want to do that) or BANE could ask Nige nicely to give him the access he needs ;)

I'd me happy to help sort it out seeing as I was tasked with looking into it last time (and failed to get that far!)

Not at all! I would love to come over there with the family to meet you all and get some games in. Saving my nickels and dimes as we speak.

I would be more than happy to help out any way I can from over here. I'm pretty computer literate as far as spreadsheets, rules packs and brackets go.
I think it would be great to see this tourny get up off the ground.

Our list from the other thread

Logistics and administration
What the event is - just a meet-up? 1 day competition? weekend competition? multiple game-systems running at the same time (so 40K comp and WHFB comp side-by-side for example)
Location - where should we host the event?
Transport options - how can people get there?
Venue - where should we host it and what capacity are we going to need
Numbers - will either be influenced or will influence the choice of venue
Amenities - what does the venue provide (gaming tables/scenery? food? drinks? toilets? car parking? local shopping?)
Accommodation - is it required and for whom? What is the cost? Group bookings available?
Cost - cost to us (financial and in effort/time). Cost to the people attending.
Additional resources - what extra stuff do we ned to provide or we should have backups of?
Dates - need to make sure we do not clash with: other GW events, other club's events, other gaming shows/events, sporting events, other global events, likely holiday periods etc.
Age policy - what is ours going to be? If kids are allowed we'll probably need the paperwork allowing to run an event and be around with kids.
Insurance/public liability - how much do we need. Does the venue cover it already?
Health & Safety - who is responsible for what on the day (between us and the venue owners)?
First Aiders - do we need to provide any? Is this a demand of the venue or law? What ratios are there of FAs to public?

Main events
Advertising - how, where, when?
Format - how should an event be run? How many rounds, how are people scored, ranked, paired off?
Rules - what are they, how are they publicised?
Sportsmanship policy - what do we do when people "cause a scene" or we get complaints about players?
Prizes - cash prize? trophy? product offer (e.g. £X amount of stuff at trade price via GF)
Ticket cost - depends on a number of factors including the prizes and the venue/numbers we can accommodate. Do we charge upfront to cover us for people not turning up?
Attendance - we need plans in place for missing people on the day and how to fill the gaps. Make sure we have contact details of players intending on being there and also of people in the stand-by list.
Paperwork - pre, during and post-event admin needs to be thought through in detail
Roles - what roles do we need (refs, admins, servitors), how many and who will fill them?

Sub events
Painting competitions - on the day ones or prizes given for events run via the website?
Team events - competitions within the main event so people are combining game results with other people - means prizes for individuals and also "prizes" for groups of players

General
Timeframe - when are we planning on doing this? Should we plan smaller, dry-runs first (contact clubs to get interest and bodies (e.g. 1st company vets)).

And my report back from talking to the WHW events manager

I spoke to Andy in the GW events team this afternoon. Here is a breakdown of the conversation:

  • WHW has a set layout and the most they can offer is 40 tables. This leaves them space/tables for store games, the hobby bar and exhibitions. That means events can be for up to 80 players (160 for doubles).
  • WHW is free! They will not charge us for using the venue.
  • Catering – for large numbers of people we need to tell them in advance and plan eating/meals with them. I think over 80 was what he quoted.
  • It was suggested (just to be safe) that we have CRB checked people and have some kind of child protection policy.
  • WHW is fully covered as a public venue for insurance/liability but many clubs already have their own on top (because they have their own venues for meetings). Recommended we look into maybe getting our own cover for the duration of an event if we feel we need to.
  • First aiders – WHW staff are trained and they enough of them to cover the venue. There is a first aid room on site.
  • Security staff are provided.
  • 2009 calendar is looking pretty busy right now with the possibility of only a few weekends free. The events team are planning a sit-down soon to go through the schedule and try and get confirmations from the various clubs/groups but essentially, get in early while you can.

Basically, Andy says they are there to help. If we let them know what/when/how they’ll be on hand to help us organise it and make sure it all works

Of course since then we have organised our own meetups and also catering so we know how to manage that (on a small scale at least but it's not too much of a stretch go go bigger). The WHW calendar is pretty full up 12-18 months in advance so it really is a case of booking a long time in advance, plus trying to avoid any other events on or near the chosen date.

Providing judges is something KMB brought up in the old thread - You probably one at the very least 1 every 10 tables (so 20 players) who really know the rules.
